Rooms Configuration

Default Configuration

The Rooms tab is where administrators can curate room setups. The Default configuration for all new instances include a Lobby room that is open to guests and a WarRoom that is for administrators or anyone who has been given the link. The WarRoom does not require a PIN by default, but administrators are recommended to set a PIN in the System Settings to keep the room secure from outsiders. This room is designed to be accessible to all employees for situations like all hands meetings or emergency gatherings, so it is recommend the PIN is shared with all users within the company. If this room is not useful for your use case, it can be deleted in the System Settings.

The Lobby room is designed to hold guests, similar to a waiting room in an office, until and administrator lets them into another room. The "Require Moderator" setting will be on by default; this is a security measure to ensure that intruders don't use the lobby to make free conference calls on your SignalWire Work instance.

Administrators can transfer guests into different rooms using the Room Navigator.

  • SignalWire Work can send text messages to an administrator whenever a guest enters the Lobby Room. This is similar to having a receptionist let you know that a guest has arrived and is ready for your meeting.
System Settings: Rooms

For each room, the following settings can be edited.

  • Basic Information
    • Room name — Name that users enter in the Dialer and that can be accessed via URL.  For example, if the room name is WarRoom, it would be accessed via https:// {your SignalWire Work domain} rooms/ {Your Room}
    • Room description — A more detailed description for the meeting that appears on the Home Screen.
    • Transfer to — Transfers callers from this room into another room automatically.  This feature is often used to map numerical extensions, as with DID number blocks into named rooms.

  • Room Visibility — Determines whether the room is advertised on the home screen even when it is empty. A numerical priority value indicates the order it appears in the list.
    • Hide this room from all previews — Hides a room preview from the Home Screen entirely — even from administrators — and can only be accessed by dialing the right room name or number.
    • Preview position on home screen/Room Navigator — Position of where a room appears on the Home Screen and the Room Navigator.
      • Not visible unless occupied  — The room preview will be hidden from the Home Screen until the room is occupied.
      • Pinned to top — Will prioritize a larger preview of the room at the top of the Home Screen page.
      • Priority 2-25  Will show a smaller room preview on the Home Screen, underneath any pinned rooms, ordered by number.  The value of 25 puts the room preview at the bottom of the home screen. This option makes it easier for employees or guests to find frequently used rooms like "Marketing" or "Sales."
    • Visible to Guests — Determines whether a participant logged in as a guest will see a preview of your room on the Home Screen. This ensures that guests don't accidentally click on or enter rooms that are for employees only.

  • Security
    • PIN — Numerical PIN for guests to join rooms
    • Moderator PIN — Numerical PIN for moderators to join rooms
    • Require Moderator — Determines whether guests can speak to each other before the Moderator arrives in a conference
